Apply, a full-service commercial landscape maintenance company, is hiring a Virtual Assistant to provide operational support. In this role, you will work directly with Irrigation and Enhancement Managers to ensure efficient day-to-day operations for field teams serving commercial clients.
What You'll Do
- Coordinate the daily scheduling of irrigation technicians under the direction of the Irrigation Manager.
- Manage job assignments and optimize routes for field teams.
- Track technician availability and communicate schedule changes promptly.
- Prepare detailed irrigation proposals and work orders for client review.
- Create work orders for issues and repairs, ensuring immediate visibility on the schedule.
- Maintain accurate irrigation project documentation and client records.
- Process irrigation service requests and update tracking systems.
- Efficiently access work portals and Google Drive to obtain necessary client files.
- Review photos from landscaping crews, verify quality standards, and convey relevant information to clients.
- Manage and respond professionally to a dedicated client-facing email address.
- Maintain and update the Irrigation Slack channel for team coordination.
- Coordinate daily with the Irrigation Manager on team updates and priorities.
- Respond swiftly to emails, assist with scheduling tasks, and update team member details.
- Update and manage the CRM for irrigation repairs, ensuring timely completion and follow-up.
- Assist the Irrigation Manager with team performance tracking and reporting.
- Maintain organized irrigation department files and documentation.
- Assist in developing and adding layers to Google MyMaps for properties.
- Field and answer crew questions, providing assistance to crews and Irrigation Techs as needed.
- Incorporate additional information from the scheduler into reports, including photos.
- Assist with irrigation team meeting logistics and follow-up.
- Help manage irrigation department compliance and documentation.
- Provide administrative support for irrigation team initiatives.
- Collaborate with the bilingual Irrigation Manager in scheduling and managing the Irrigation Tech team.
- Provide backup support for critical irrigation operations when needed.
- Perform other irrigation team support duties as assigned.
What We're Looking For
- High school diploma or equivalent.
- Minimum 3 years of administrative or operations support experience.
- Bilingual fluency in verbal and written English and Spanish.
- Ability to work Arizona time zone hours (7AM to 4PM AZ time).
- Strong computer skills with proficiency in Google Workspace.
- Excellent written and verbal communication skills.
- Strong organizational skills and keen attention to detail.
- Ability to work independently in a remote environment.
- Proactive problem-solving abilities and task management approach.
- A reliable high-speed internet connection and dedicated workspace.
Nice to Have
- Previous experience in construction, landscaping, or the irrigation industry.
- Proficiency with CRM systems and project management tools.
- Experience with Slack or similar team communication platforms.
- Familiarity with Google MyMap.
- Basic understanding of irrigation systems and terminology.

- Associate's degree in business administration or a related field.

Benefits & Compensation
- Compensation: USD $1,200 - $2,000 per month.
