About the Role

Lago is hiring a Virtual Assistant to ensure our client process runs smoothly from first inquiry to final payment. You will be the central hub for client flow, providing administrative and scheduling support to a global team passionate about leveraging data to drive success in a rapidly evolving market.

What You'll Do

  • Coordinate and schedule meetings, calls, and appointments across time zones.
  • Manage and update shared calendars to avoid conflicts.
  • Send reminders, confirmations, and follow-up messages.
  • Respond promptly and professionally to inbound emails, messages, and calls.
  • Monitor post-call follow-up to ensure doula matches and interviews happen promptly.
  • Send and track contracts, invoices, and payment reminders.
  • Maintain a log of all inquiries and follow-ups in our CRM or tracking system.
  • Ensure no lead or request is left unanswered.
  • Keep client records up to date and accurate.
  • Maintain organized records of client communications and scheduling notes.
  • Assist with light administrative tasks like document formatting and basic data entry.
  • Provide excellent customer service to doulas and clients.

What We're Looking For

  • 2+ years of experience as a virtual assistant, administrative assistant, or in a similar role.
  • Strong written and verbal English communication skills.
  • High attention to detail and strong organization skills.
  • Experience with Google Workspace (Calendar, Gmail, Drive), Zapier, and communication tools like Slack or Zoom.
  • Professional, friendly, and adaptable demeanor.
  • Reliable internet connection and dedicated remote workspace.

Nice to Have

  • Experience with CRM tools like EngineHire, Calendly, HubSpot, or similar.
  • Prior experience managing a busy schedule for executives or teams.
  • Familiarity with birth work, family services, or wellness industries.
  • Customer service background.
