Pennsylvania State University is hiring a University Registrar Specialist to guide students, faculty, and staff through academic policies and procedures related to student academic records. This critical role involves processing academic actions, managing the course catalog, scheduling, degree conferral, and degree audit systems.
What You'll Do
- Guide students in processing academic actions including transcript requests, enrollment verifications, degree changes, and student information changes.
- Build and update course catalog specifications including course controls, attributes, and prerequisites.
- Manage classroom and final exam scheduling; coordinate the scheduling process and guide departmental staff.
- Confer degrees for graduation and process diploma orders.
- Analyze and monitor the degree audit reporting system and processes; apply specialized certification knowledge to reviews.
- Monitor and update the degree audit system; work with student athlete certification review.
- Implement and advise on policies, procedures, and activities pertaining to student records; serve as a key resource.
- Evaluate credentials and maintain academic records including academic actions such as registration, enrollment, personal information changes, grades, and GPA calculations.
- Process and upload reports to the National Student Clearinghouse for all students university-wide; ensure accuracy in reporting enrollment, withdrawals, and graduation.
- Evaluate, process, and distribute transcript requests, enrollment verification requests, and diploma or certificate requests for all academic units/careers and campuses.
- Process and evaluate re-enrollment, withdrawal, add/drop, course cancellation, leave of absence, and nondegree forms.
- Analyze curriculum changes to determine impact on the degree audit system; work closely with University Faculty Senate on new and changed curriculum programs.
- Scan, index, and review student and academic documents for electronic storage.
- Prepare student athletic certification processes; evaluate progress forms, confirm degree audit accuracy, and analyze athletic eligibility certifications per conference regulations.
- Analyze student records for University President Awards and validate records for honor societies and club sport requirements.
- Compile data from University records systems; generate and analyze reports.
- Ensure accuracy of course data; research course information and coordinate with external offices.
- Research, load, merge, and verify historical transcript records.
- Organize and direct the workflow of information entered and removed from University-wide student information systems; address discrepancies; serve as a subject matter expert.
- May supervise staff members, including hiring, development, and performance management.

- 2+ years of relevant experience; or an equivalent combination of education and experience
