About the Role

Assistantly is hiring a Unicorn Generalist to serve as the strategic right hand for high-growth founders and teams. In this role, you will take ownership of admin, operations, project management, brand support, and client communication to turn chaos into clarity and help build the business from behind the scenes.

What You'll Do

  • Manage calendars, inboxes, task boards, and file systems with clarity and consistency.
  • Own internal operations including SOPs, documentation, and day-to-day accountability.
  • Coordinate project timelines, dependencies, and cross-functional execution.
  • Be the point of contact for internal or client communications to keep everyone aligned.
  • Assist with visual asset creation in Canva or similar tools for decks, graphics, one-pagers, and email creatives.
  • Draft or manage outbound client communications including updates, recaps, reminders, and follow-ups.
  • Use AI tools to summarize meetings, brainstorm content, and build repeatable workflows.
  • Ensure brand consistency and polish across all touchpoints.
  • Anticipate problems and solve them proactively.

What We're Looking For

  • Minimum 3 years of experience in administrative support, operations, project management, marketing support, or similar roles.
  • Proven ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment.
  • Strong written and verbal communication skills for drafting clear, professional emails, reports, and updates.
  • Hands-on experience managing inboxes, calendars, documents, and task tracking systems.
  • Hands-on experience creating SOPs, workflows, and improving internal processes.
  • Hands-on experience supporting brand initiatives through email campaigns, social media scheduling, and light graphic design (e.g., Canva).
  • Hands-on experience maintaining positive client relationships and providing proactive support.
  • Proficiency with productivity tools such as Google Workspace, Microsoft Office, and project management platforms (e.g., Asana, ClickUp, Trello).
  • Familiarity with AI tools (e.g., ChatGPT, Jasper) to draft, summarize, research, and enhance efficiency.
  • Exceptional organizational skills with attention to detail and follow-through.
  • Proactive, resourceful, and capable of solving problems independently.
  • Ability to think critically, adapt quickly, and bring structure to ambiguous situations.

Nice to Have

  • Experience supporting founders, agencies, coaches, or high-output teams.
  • Experience handling operations, creative projects, or client deliverables end-to-end.
  • Experience building systems and SOPs for fast-paced teams.

Technical Stack

  • Canva, Google Workspace, Slack, Asana, ClickUp, Notion, Microsoft Office, Trello, AI tools (e.g., ChatGPT, Jasper)
