About the Role
The individual in this role will lead a team responsible for organizing, storing, and retrieving documents, as well as producing reprints of key materials. They will ensure procedures are followed, workflows are efficient, and staff are properly trained and supervised.
Responsibilities
- Oversee daily operations related to file management and document reproduction
- Supervise team members responsible for handling physical and digital records
- Ensure all filing systems comply with internal standards and retention policies
- Coordinate the reprinting and distribution of published materials
- Monitor workflow to maintain productivity and meet deadlines
- Train new employees on departmental procedures and safety protocols
- Maintain inventory of supplies used in document reproduction
- Troubleshoot equipment issues related to printing and scanning
- Review files for completeness and accuracy before archiving
- Implement process improvements to increase efficiency
- Prepare reports on team performance and project status
- Ensure secure handling of sensitive or confidential documents
- Collaborate with other departments to fulfill document requests
- Schedule staff shifts and manage time-off requests
- Conduct regular audits of stored materials
- Respond to internal inquiries about document availability
- Enforce compliance with data privacy guidelines
- Maintain logs of reprint orders and file access
- Support version control for updated documents
- Assist in the transition from paper-based to digital systems when applicable
- Ensure consistent application of naming and indexing conventions
- Coordinate offsite storage logistics when needed
- Manage vendor relationships for external reproduction services
- Oversee destruction of outdated files according to policy
- Promote a safe and organized work environment
