Smartsheet is hiring a Services Operations Analyst

About the Role

This role is responsible for overseeing critical operational processes within Professional Services, ensuring projects are set up correctly and efficiently from the start. You'll manage end-to-end workflows including intake, project configuration, and billing enablement, while upholding compliance and precision across all stages.

Key Responsibilities

  • Manage core operational processes such as project initiation, assignment tracking, and readiness for billing
  • Prepare and validate Statements of Work using established templates, ensuring clarity, completeness, and alignment with contractual terms
  • Review SOWs for operational feasibility, flagging non-standard clauses or potential risks for escalation
  • Collaborate with Sales, Legal, and Finance to support deal execution and smooth project transitions
  • Ensure accurate and timely handoffs to enable fast project kickoffs and invoicing
  • Maintain data integrity in PSA systems, identifying and resolving discrepancies proactively
  • Generate reports on project status, utilization, and forecasting to support operational insights
  • Document and update standard operating procedures and job aids for assigned areas
  • Identify opportunities to streamline processes, reduce errors, and improve scalability
  • Support the implementation and adoption of system updates and process improvements

Qualifications

  • 4–6 years of experience in Professional Services Operations, Business Operations, or a similar function
  • Proven experience in drafting, reviewing, and managing Statements of Work
  • Familiarity with Professional Services delivery models and PSA platforms
  • Ability to work independently within defined frameworks while managing complex tasks
  • Strong attention to detail and risk awareness with clear escalation judgment
  • Solid communication skills, both written and verbal
  • Experience collaborating across departments to drive operational outcomes

Work Environment

This position supports remote work from any registered location in Costa Rica. The role leverages PSA systems to manage workflows and ensure data accuracy.
