Responsibilities
- Serve as the main point of contact for matters related to Veteran Benefits.
- Deliver accurate and timely reporting and certification to the U.S. Department of Veterans Affairs.
- Collaborate with the CNS Fund Source to verify correct benefit amounts in the SIS and notify the Financial Aid Office if other aid impacts VA Benefits or Cost of Attendance.
- Guide veterans, dependents, and active-duty military members in accessing and using educational benefits from the VA.
- Inform benefit recipients about program qualifications and required documentation, and support them through the application process.
- Oversee term-based certification requests from VA students and verify benefit accuracy.
- Develop presentation materials for students and staff focused on veteran benefits and services.
- Stay current with all veterans’ education programs, laws, and regulations affecting eligibility.
- Notify the state approval agency and the U.S. Department of Veterans Affairs of new, modified, or discontinued programs annually, along with institutional changes, including submission of required state applications.
- Act as the primary liaison during annual audits conducted by veteran affairs officials.
- Coordinate with internal departments to gather and provide requested documentation.
- Keep complete and accurate records for all veteran students.
- Supply school records to representatives from the state approval agency and the U.S. Department of Veterans Affairs upon request.
- Establish and update Standard Operating Procedures as needed.
- Design templates for internal use and documentation related to certification changes.
- Handle VA debt letters by arranging refunds to the VA and communicating with affected students.
- Complete all required training to maintain eligibility as a school certifying official per VA guidelines.
- Post and reconcile incoming military and VA payments with finance, EFT, student ledgers, and fund source disbursements in the SIS.
- Manage the Tungsten invoicing system for Chapter 31 beneficiaries.
- Support accounts receivable analysis and reporting tasks.
- Provide backup support to senior advisors on issues such as complaints, ledger reviews, reconciliations, and regulatory inquiries, particularly for VA students.
- Reach out to students when concerns are escalated by junior staff.
- Assist with managing bad debt, collections, and student account holds.
- Perform additional assigned duties that support the mission of serving VA students without detracting from core responsibilities.
