Role Overview
This position plays a central role in maintaining the rhythm and effectiveness of the Global Membership & Personalisation (M&P) program. Reporting to the Vice President of M&P, the Senior Specialist ensures smooth execution of governance processes, executive coordination, and cross-functional communication. The role supports two senior leaders directly, managing calendars and travel, while also driving the operational backbone of key business activities.
Key Responsibilities
- Manage and maintain the M&P Program Governance calendar, ensuring alignment of meetings, events, and communications across time zones and stakeholder groups.
- Prepare and coordinate high-quality materials for leadership reviews, team sessions, and company-wide forums, ensuring clarity and consistency in messaging.
- Develop and execute a structured communication plan to keep internal stakeholders informed and aligned on program progress and decisions.
- Organize and lead key business meetings—from agenda creation to follow-up—including documentation of outcomes and tracking of action items.
- Support governance frameworks such as investment reviews, steering committees, and strategic workstreams with operational rigor and attention to detail.
- Provide direct business support to two Vice Presidents, including calendar management, travel coordination, and prioritization of commitments.
- Assist in core operational processes related to people, finance, and communications, including purchase order tracking, system access, and project-specific tasks.
Required Qualifications
Candidates should bring proven experience in operational or business support roles within large, global organizations. Experience supporting senior leadership in complex, multi-channel environments—particularly those combining direct-to-consumer and business-to-business operations—is essential. Proficiency in Microsoft Office tools, especially Outlook, Teams, SharePoint, OneNote, and PowerPoint, is required. The ideal candidate works independently with strong organizational skills, delivers high-quality results under deadlines, and communicates clearly and professionally with executives. A collaborative mindset, cultural awareness, and experience in multicultural manufacturing settings are highly valued.
