About the Role
The Senior Executive Assistant will serve as a strategic partner to top executives, handling confidential matters, coordinating international schedules, and streamlining workflows through proactive problem-solving and precise communication.
Responsibilities
- Manage and prioritize executive calendars across multiple time zones
- Coordinate domestic and international travel arrangements
- Prepare and edit correspondence, presentations, and reports
- Screen and respond to emails and phone calls on behalf of executives
- Organize and schedule high-level meetings and conferences
- Maintain confidentiality of sensitive business information
- Track and follow up on key action items and deliverables
- Liaise with internal departments and external partners
- Anticipate executive needs and proactively resolve scheduling conflicts
- Handle expense reporting and budget tracking
- Support special projects and strategic initiatives
- Draft agendas and meeting summaries
- Ensure timely preparation of materials for board meetings
- Maintain organized digital and physical filing systems
- Act as a point of contact during off-hours when needed
- Facilitate onboarding for new executive team members
- Coordinate internal and external event logistics
- Monitor deadlines and ensure timely follow-up
- Provide backup support to other executive assistants
- Use technology tools to streamline scheduling and communication
- Maintain up-to-date contact databases
- Troubleshoot technical issues for virtual meetings
- Support crisis communication efforts when required
- Adapt quickly to shifting priorities and urgent requests
- Uphold professional standards in all interactions
