About the Role
The Payroll Specialist will be responsible for processing biweekly payroll for employees across multiple states, ensuring accuracy and adherence to federal and state laws. This role will also handle payroll inquiries, tax filings, and year-end reporting.
Responsibilities
- Process biweekly payroll for a distributed workforce across various states
- Verify timesheet data and resolve discrepancies before payroll runs
- Ensure compliance with federal, state, and local payroll regulations
- Prepare and submit payroll tax filings on schedule
- Manage wage garnishments and benefit deductions accurately
- Respond to employee questions about pay statements and deductions
- Reconcile payroll data with general ledger entries
- Support year-end processes including W-2 preparation and distribution
- Maintain confidentiality of sensitive payroll information
- Collaborate with HR and finance teams on payroll-related issues
- Track and report on paid time off and leave balances
- Audit payroll records for accuracy and completeness
- Assist with onboarding new hires into payroll systems
- Troubleshoot payroll system issues and coordinate with vendors
- Document payroll procedures and update as needed
- Stay current with changes in employment tax laws
- Process off-cycle and final paychecks as required
- Ensure proper classification of workers for tax purposes
- Support internal and external audits with payroll documentation
- Implement payroll controls to minimize errors and fraud
