Inventive Food Technology (IFF) is looking for a Sales Support & Customer Service professional to join our Fine Fragrances business unit in Barcelona, Spain. In this role, you will manage sales orders, project briefs, and administrative tasks while ensuring excellent client relationship management for a key account. You'll be part of a team that values innovation, collaboration, and excellence.
What You'll Do
- Manage sales orders and project briefs from clients, including fragrance type, concept, cost, and concentration, and input data into PUMA and SAP.
- Coordinate sample requests, documentation, and communication with internal teams and external stakeholders and handle sample recycling processes with external partners.
- Support the Commercial Director with meeting preparation, materials, and administrative tasks and oversee office supplies and materials required by Account Managers.
- Maintain and update pricing lists, sample records, and project documentation.
- Manage toxicological analysis requests due to specification or regulatory changes.
- Organize and analyze commercial data to support decision-making.
- Manage order processing for a key client: order entry, factory follow-up, and on-time delivery assurance.
- Maintain regular contact with the client, providing updates and support.
- Monitor and update monthly forecasts and demand planning.
What We're Looking For
- Proven experience in sales support or customer service.
- Strong administrative background with excellent organizational skills and attention to detail.
- Proficiency in Microsoft Office (Excel, PowerPoint, Word).
- Solid experience using SAP systems (mandatory).
- Ability to manage multiple tasks and priorities in a high-pressure environment.
- Strong interpersonal and communication skills in Spanish, English, and French.
- Customer-focused mindset with a proactive approach to problem-solving.
- Team player with a willingness to learn and adapt.
Nice to Have
- Background in the fragrance or cosmetics industry.
- Experience supporting commercial teams or account managers.
- Experience in project coordination, including documentation and regulatory follow-up.
- Comfortable working with internal and external stakeholders, maintaining clear and professional communication.
- Skilled in preparing reports, tracking KPIs, and ensuring timely and accurate information flow.
