Washington University in St. Louis is hiring a Research Administrator for its Radiology department. This role plays a vital part in the sponsor project life cycle, ensuring research proposals meet sponsor guidelines and are successfully submitted. You will support faculty, center directors, and staff throughout the pre-award stage and manage a portfolio of post-award and payroll activities for a research-intensive department.
What You'll Do
- Provide oversight and day-to-day management of research administration.
- Perform pre-award duties for complex proposals, including program projects, ARPA-H, DOD, and DOE grants.
- Work with faculty in proposal preparation, submission, and budgeting.
- Act as liaison between the Chair, Faculty, and Department Administrators.
- Stay current on federal and university developments regarding research administration.
- Compile data and ensure accurate regulatory compliance for grant submissions.
- Work with Principal Investigators to compile and submit entire grant applications.
- Prepare and review all agency forms for submission.
- Enter grant budgeting documents online and obtain necessary PI and institutional signatures.
- Initiate subaward setup through the SUBS system.
- Coordinate with Post-award unit and OSRS for timely implementation of contracts.
- Manage reviews of complex notices of award (NOA).
- Track and maintain an online database of grants submitted, awarded, and rejected.
- Monitor and assist with submitting annual agency reports like RPPRs.
- Team with the Post-Award unit on revised budgets.
- Oversee the proper transfer of PI grants and contracts into and out of WashU.
- Coordinate support for complex grant-related information requests.
- Analyze online database metrics and funding trends.
- Manage and monitor complex sponsored projects budgets and ensure timely expenditures.
- Identify and assign payroll to appropriate sources, entering directly into Workday with PI approval.
- Approve purchasing documents and guide purchasing staff on appropriate expenditures.
- Manage subawards, including invoice review and approval.
- Check for accuracy and troubleshoot fund profile setups and financial reports.
- Create correspondence with granting agencies.
- Serve as liaison with SPA to ensure timely fund setup.
- Ensure human and animal study protocols are associated with the correct proposal or award.
- Prepare monthly financial reports for complex research accounts and discuss with PIs and leadership.
- Assist in reconciling funds and monitoring spending levels, overdrafts, and cost sharing.
- Work with PIs on fund management and necessary budgetary changes.
- Manage Cores and Subcores, program income, bridge/seed, and institutional funds.
- Perform data gathering, analysis, and reporting on Center equipment inventories.
- Design and implement reporting databases for Cores/Subcores to track services for billing.
- Prepare, send, and monitor invoices for services performed by the Cores.
- Assist in preparing financial and summary information for Director/Associate Director meetings and reports.
- Serve as liaison, communicating policies and procedures to Center Investigators and staff.
- Distribute, monitor, track, and report on performance survey results.
- Coordinate all Center lectures, scientific forums, workshops, and advertising.
- Participate in all Center-related meetings and symposiums.
- Assist senior leadership with special projects as requested.
What We're Looking For
- Bachelor’s degree or a combination of education and/or experience substituting for minimum education.
- 4 years of relevant experience.
- 2 years of grants administration experience.
Nice to Have
- Master's degree.
- Knowledge of S2S and SUBS systems.
- Knowledge of agency guidelines.
