As an Operations Coordinator, you'll play a key role in maintaining the efficiency of appointment scheduling and user support. You’ll manage incoming booking requests through email and internal platforms, assigning appointments according to clinician availability, language needs, and workload capacity. Using the company’s CRM system, you’ll independently confirm appointments and ensure all service level agreements are consistently met.
Key Responsibilities
- Process incoming appointment requests via email and internal tools
- Assign bookings to appropriate clinicians based on language and availability
- Confirm appointments using the in-house CRM system
- Meet SLA timelines for confirmations and user communications
- Respond promptly to inquiries from users and clinicians
- Direct queries to the relevant internal teams for resolution
- Maintain clear records and ensure smooth handovers
- Identify and escalate edge cases or capacity constraints to leadership
