About the Role
This position supports clients by creating and managing comprehensive travel plans. The coordinator ensures all components of a trip are booked accurately and communicated clearly, working closely with partners and vendors to deliver smooth travel experiences.
Responsibilities
- Develop detailed travel schedules based on client preferences
- Book flights, lodging, and ground transportation
- Communicate travel details to clients in a timely manner
- Coordinate with local vendors and service providers
- Monitor travel advisories and adjust plans as needed
- Respond to client inquiries about their itineraries
- Update and maintain booking records
- Handle changes or disruptions to travel plans efficiently
- Ensure all reservations align with client budgets
- Verify visa and entry requirements for international trips
- Provide pre-trip guidance and documentation
- Track travel confirmations and send reminders
- Assist with special requests such as dietary needs or accessibility
- Maintain accurate timelines for multi-destination trips
- Support senior coordinators with complex bookings
- Follow company protocols for booking systems
- Resolve booking discrepancies promptly
- Gather client feedback after trips
- Stay updated on global travel trends and restrictions
- Use digital tools to manage and share itineraries
- Ensure all client data is handled confidentially
- Collaborate with team members on workflow improvements
- Prepare reports on booking activity and client satisfaction
- Adapt plans for weather or geopolitical changes
- Maintain professionalism in all client interactions
Nice to Have
