FreedUp is looking for a Remote Executive Operations Assistant to provide high-level support to the CEO in a fast-paced, process-driven environment. This role is ideal for a systems-oriented professional who excels at taking ownership of key operational processes and thrives on creating order within digital systems.
What You'll Do
- Attend weekly partner meetings as a listener and note-taker, synthesizing key decisions, action items, and themes.
- Manage and triage the Executive's professional Gmail inbox using a structured four-folder system.
- Organize and protect the Executive's Google Calendar, schedule meetings via Slack, and uphold meeting quality standards.
- Manage delegated tasks, onboarding checklists, and projects within ClickUp, including creating tasks from Gmail.
- Record repetitive processes using Loom to build SOPs and maintain documentation in Notion.
- Provide future support for administrative and compliance tasks like small business recertification.
What We're Looking For
- 3+ years of experience as an Executive Assistant, Operations Assistant, or Client-Facing Project Manager.
- Excellent written communication skills with a clear, structured, and professional tone.
- Strong note-taking and synthesis abilities, capturing decisions and action items effectively.
- High attention to detail in all documentation, scheduling, and task tracking.
- Ability to maintain confidentiality and discretion in sensitive conversations.
- Strong organizational and prioritization skills, with comfort enforcing structure and workflows.
- Ability to work independently while receiving and implementing weekly feedback.
- Proven comfort working within structured digital systems, including: Gmail, Slack, Notion, Loom, Toggl, ClickUp, and Google Calendar.
- Reliable high-speed internet, a modern laptop with a multi-core processor, and a noise-canceling headset.
