Austin Health is looking for a Project Officer to be the operational backbone of the HR Service Delivery Transformation Program. You will provide end-to-end project administration support, ensuring our program delivery is smooth and well-coordinated.
What You'll Do
- Maintain and update core project documents like program plans, risk registers, and action trackers, ensuring version control and accessibility.
- Coordinate and attend all project meetings and governance forums, preparing agendas, taking minutes, and following up on actions.
- Support the quality assurance review of HR knowledge base articles before publication, proofreading for accuracy, formatting, and style.
- Prepare clear, professional reports, status updates, and presentations for senior stakeholders and governance bodies.
- Coordinate change management activities including distributing communications, training materials, and surveys, and assisting with stakeholder feedback data.
What We're Looking For
- Experience in a project administration, executive assistant, or similar role, ideally within a project environment, with proven ability to take accurate and comprehensive meeting minutes.
- Excellent written communication and document management skills, including strong proofreading, editing, and formatting abilities.
- Exceptional organisational skills, high attention to detail, and the ability to manage competing deadlines and multiple workstreams.
- Strong proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, SharePoint, Teams), and the ability to quickly learn new tools.
- The interpersonal skills and professional maturity to liaise confidently with stakeholders at all levels and handle sensitive information with discretion.

Team & Environment
You'll be part of the HR Shared Services team, an enablement function delivering HR services across the organisation, and report directly to the HR Transformation Program Lead.
