Asplundh Engineering Services, LLC is hiring a Project Coordinator

This role provides essential support to Project Managers across a range of engineering projects, ensuring operations run efficiently and communication remains clear. You will coordinate project schedules, organize meetings, and distribute minutes to internal teams, maintaining accurate records throughout each project lifecycle.

Key Responsibilities

  • Support Project Managers in preparing proposals, contracts, and budget documentation
  • Develop and maintain project files including schedules, status reports, estimates, and dashboards
  • Manage document control processes for RFIs, submittals, shop drawings, and transmittals
  • Assist with procurement activities such as issuing RFQs, tracking vendor responses, and monitoring deliveries
  • Coordinate billing efforts with the accounting team and support aged receivables follow-up
  • Prepare internal management reports and ensure project data is up to date
  • Attend project meetings, site visits, and coordinate with subcontractors as needed
  • Submit weekly timesheets, expense reports, and other required documentation
  • Stay current with training to support ongoing project responsibilities

Qualifications

A high school diploma or equivalent is required, along with strong proficiency in Microsoft Office applications. You must demonstrate solid organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. Excellent written and verbal communication abilities are essential. A valid driver’s license is required due to occasional travel needs.

Experience in engineering, construction, or project coordination (1–3 years) is preferred. The role may require local day travel and occasional overnight stays. Candidates must pass a pre-employment drug screen, background check, and motor vehicle review.

Work Environment

This is a hybrid position with responsibilities split between office and field settings. You are expected to provide your own transportation to job sites and the office. Business-related travel expenses are reimbursed in accordance with standard guidelines.
