About the Role

Elevate and Delegate is hiring a Project Coordinator to manage technician scheduling, track project progress, oversee installations, and coordinate with vendors and customers. You will be responsible for generating daily and weekly reports to ensure project accuracy and timely communication.

What You'll Do

  • Update technician location schedules daily and weekly using scheduling software.
  • Confirm technician check-ins and follow up on late or incomplete arrivals.
  • Update project progress, status, and tracking widgets in Orcatec.
  • Set up and maintain weekly reporting on key project metrics.
  • Assist with data import tasks as requested.
  • Perform a daily review of all installations from the previous day.
  • Audit technician end-of-day reports to ensure all installs are completed in Orcatec or Fast Field.
  • Follow up with technicians for any missing records.
  • Cross-check OEM records (serial numbers, vehicle associations) with internal data.
  • Complete and submit online customer forms (e.g., Motive FSP) if needed.
  • Send daily reports to customers or OEMs after verifying install data.
  • Update Smart Sheet or Google Sheets with completed installs per location.
  • For completed locations, confirm technicians submitted End of Location forms and compare completed vs. scheduled installs.
  • Follow up on discrepancies and verify missing installations.
  • Send Customer Acceptance Forms per project requirements if applicable.
  • Attend regular meetings with customers and vendors to review project status and vendor performance.
  • Review AI call summaries to stay informed on project updates.
  • Prepare and send Daily project reports to management every morning, including total installs completed, delays, shortcomings, and missed installs.
  • Prepare and send weekly summaries.
  • Escalate any project delays to customers in real-time following outlined protocols.
  • Ensure delay reports are detailed and accurate.
  • Report all issues in real-time with as much detail as possible.
  • Escalate issues to the main point of contact at the location, internal management, and other relevant stakeholders.
  • Copy the client’s Management Team on all issue reports.
  • Provide technicians with full job details for all upcoming projects or locations at least one week in advance.
  • For route-based projects, send next location details 24 hours in advance.

What We're Looking For

  • Proven experience in project coordination or a similar role.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent communication skills for coordinating with technicians, vendors, and customers.
  • Ability to manage multiple tasks and generate accurate reports under deadlines.
  • Proficiency with standard office and scheduling software.

  • Client Relationship: Work directly with the client, communicate independently, and address client-related matters.
  • Payments: All payments handled directly by the client; Elevate and Delegate is not involved in payroll.
  • Vacation Leaves and Holidays: Schedule alignment with client's business needs and policies; client has discretion over decisions.
  • Compensation: $6-$8/hr
