Responsibilities
- Gather operation and maintenance manuals, warranties, as-built drawings, commissioning reports, test and balance reports, equipment specifications, and training materials from general contractors and subcontractors.
- Monitor the status of document submissions and follow up on incomplete or missing items.
- Ensure all required closeout documents are collected throughout the construction process.
- Structure and store documentation systematically in the DataSphere platform using categories such as system, room, manufacturer, and drawing number.
- Confirm that submitted materials align with contract specifications and reflect actual installed equipment.
- Identify and resolve discrepancies in documentation, including incorrect model manuals or absent warranty records.
- Follow up to correct inaccuracies or obtain missing documentation.
- Review documentation packages for completeness and correctness prior to client delivery.
- Verify HVAC submittals match equipment serial numbers, electrical panel schedules reflect final conditions, and warranties include valid start dates and coverage terms.
- Collaborate directly with project managers, engineers, and subcontractors to secure necessary documents.
- Deliver progress updates to general contractors and engage in closeout coordination meetings.
- Instruct building owners and facility staff on how to use DataSphere features and navigate the platform after project handover.
