BuildingWorks is hiring a Project Closeout Consultant to manage all aspects of closeout documentation for commercial construction projects in the East. You will be responsible for collecting, organizing, validating, and delivering critical project documentation to ensure nothing gets lost in the handoff from construction to operations.
What You'll Do
- Collect closeout documentation from general contractors and subcontractors throughout construction, including equipment specs, O&M manuals, warranties, as-built drawings, commissioning reports, and training materials.
- Track submission status, follow up on outstanding items, and ensure all required documents are received.
- Organize documentation in the DataSphere platform by system, room, manufacturer, and drawing number.
- Verify submitted documentation matches contract requirements and installed equipment.
- Track down and correct incorrect or missing documentation.
- Audit documentation packages for completeness and accuracy before delivery.
- Validate that manuals match installed equipment serial numbers, electrical panel schedules reflect as-built conditions, and warranties are documented correctly.
- Work directly with project managers, engineers, and subcontractors to collect documentation.
- Provide status updates to general contractors and participate in closeout coordination meetings.
- Train building owners and facility managers on DataSphere navigation and features upon project delivery.
- Manage multiple projects simultaneously at different stages of completion.
- Track progress against milestone schedules and flag issues proactively.
What We're Looking For
- 2+ years working with construction documentation, project management, or facilities management.
- Familiarity with construction closeout processes and typical documentation requirements.
- Experience reading and interpreting construction drawings and specifications.
- Proficiency with document management systems and cloud-based platforms.
- Strong organizational skills with the ability to track hundreds of documents across multiple projects.
Nice to Have
- Background as a project engineer, project coordinator, or assistant project manager with a general contractor.
- Experience in facilities management or building operations.
- Knowledge of MEP systems (mechanical, electrical, plumbing) and building equipment.
- Familiarity with CSI specification divisions and submittal processes.
- Experience with construction management software.
