As a Planning Administrator, you’ll play a key role in maintaining the efficiency of day-to-day maintenance operations. You'll ensure that job records, materials, and subcontractor details are accurately recorded and up to date across digital systems, helping trade teams complete their work effectively and on time.
Key Responsibilities
- Maintain accurate, real-time data on maintenance requirements for customer homes
- Manage incoming queries from customers, colleagues, and suppliers via email and phone
- Update and monitor works order and planning systems to reflect current job statuses and resource needs
- Ensure trade operatives receive clear daily task instructions, including locations and required materials
- Identify when workloads exceed capacity and support timely escalation

- Experience in administrative roles within a fast-paced repairs or maintenance environment
- Familiarity with workforce planning and digital management systems
- Strong organisational skills, with the ability to manage multiple tasks and meet deadlines

This is a permanent, full-time position with a hybrid setup—three days per week working remotely and two days in the Dundee office. Typical hours are between 8:00 am and 4:00 pm, with flexibility to support work-life balance. Occasional visits to local depots or offices may be required for training or meetings.
