As a Payroll Specialist, you will oversee the complete payroll cycle for both Canadian and U.S. employees, ensuring accuracy, compliance, and adherence to internal controls. Your responsibilities include processing weekly and bi-weekly payrolls, managing employee data changes, and verifying the correctness of wage calculations, deductions, and benefits reimbursements.
Key Responsibilities
- Process payroll cycles on schedule, following internal financial controls and regulatory standards.
- Input and validate employee transactions, including new hires, terminations, and rate adjustments.
- Administer court-ordered deductions, garnishments, union dues, charitable contributions, and other payroll withholdings.
- Ensure timely submission of government remittances and year-end documentation such as T4s, W-2s, and Records of Employment.
- Support compliance efforts by maintaining accurate records and following established payroll procedures.
- Collaborate with HR teams to verify data integrity and meet reporting deadlines.
- Respond to employee inquiries about pay, deductions, and benefits with discretion and professionalism.
- Generate routine and on-demand reports to support internal and external audit requirements.
- Provide backup support across the payroll team to maintain operational continuity.
Qualifications
You bring a post-secondary background in Human Resources or a related field, along with strong organizational skills and the ability to manage multiple priorities under tight timelines. Proficiency in Excel, Word, and Outlook is essential.
Preference will be given to candidates with payroll certification such as PCP or CPM, and those who have 1–3 years of experience in in-house payroll processing. Familiarity with multi-state U.S. payroll regulations is a plus.
