About the Role

Wider Circle is looking for a Patient Operations Associate to be the primary point of contact and logistical driver for our members. You will own the 'Everything Surrounding Care' space, ensuring patients have everything they need from referral through their clinician meeting. This role involves solving puzzles, thriving in a high-volume environment, and adapting as our systems evolve.

What You'll Do

  • Conduct rapid outreach to new referrals, welcoming them and setting the tone for their care journey.
  • Perform Verification of Benefits (VOB) and confirm program qualification to ensure a seamless billing path.
  • Own the scheduling and rescheduling loop, ensuring patients show up for their E/M visits and resolving 'no-show' hurdles.
  • Act as a 'Member Concierge,' helping patients navigate the platform, sign consents, and fix audio/video issues before appointments.
  • Maintain a 'Zero Inbox' mentality within Case Management Systems, documenting every interaction for clinical continuity and reimbursement.
  • Assist the Operations team in testing new workflows, documenting 'what works,' and taking on special projects as the company scales.

What We're Looking For

  • 1–3 years of experience in a patient-facing, high-volume administrative, or customer success role.
  • A 'service-first' mindset.
  • Ability to navigate multiple software tools simultaneously.
  • Exceptional communication on the phone and in writing, able to explain complex insurance or tech issues with empathy and clarity.
  • Detail obsessed.
  • Comfortable with ambiguity and excited by the chance to help define a role as we grow.

Nice to Have

  • Healthcare experience is a plus.
