About the Role

Baird & Warner Real Estate is looking for a Part-Time Administrative Assistant to be the welcoming face and operational backbone for our Lincoln Square and Edison Park offices. Front desk staff are the heart of our business operations and directors of first impressions, playing a critical role in supporting our Real Estate Sales Professionals.

What You'll Do

  • Greet visitors, answer incoming calls, and route questions to appropriate departments.
  • Manage the front desk email inbox, triaging questions and supporting internal and external customers.
  • Schedule meetings and prepare conference rooms accordingly.
  • Create and manage all aspects of MLS listings and manage related compliance documents on behalf of agents.
  • Oversee incoming and outgoing mail and package fulfillment.
  • Confidently and securely open and close the office as shift requires, following detailed procedures.
  • Perform administrative duties such as ordering, maintaining, and restocking office supplies and inventory.
  • Process photos for agents and marketing on the MLS and for creating brochures.
  • Work collaboratively with the Marketing team on signage orders, billing, and data collection.
  • Work with accounts receivable on issuing receipts, processing check payments, and facilitating customer satisfaction.

What We're Looking For

  • High school diploma or equivalent.
  • Strong written and verbal communication skills.
  • Positive attitude and professionalism.
  • Ability to multi-task & prioritize.
  • Strong computer skills, including the Google platform and Microsoft Office.
  • Motivated self-starter who can work independently and as part of a team.
  • Excellent organizational skills and attention to detail.

Nice to Have

  • Real estate knowledge.

Team & Environment

Benefits & Compensation

  • Hourly pay: $18 - $22 per hour.

Work Mode

This is an onsite position. You will work at two locations: 4553 N Lincoln Ave, Chicago IL 60625 (Lincoln Square) and 7280 W Devon Ave, Chicago IL 60631 (Edison Park).
