Every is looking for a Bookkeeper I to support our clients' financial operations by ensuring accurate transaction recording, reconciliations, and reporting. This role is ideal for a detail-oriented person eager to learn and proficient in QuickBooks, working under senior guidance. It provides a foundation in bookkeeping, accounting software, and client service within a technology-driven environment.
What You'll Do
- Perform daily bookkeeping tasks, including data entry, bank reconciliations, and accounts payable/receivable.
- Process and categorize transactions in QuickBooks Online (QBO).
- Prepare financial statements, balance sheets, and profit & loss reports under supervision.
- Assist in payroll processing and payroll tax filings as needed.
- Record payroll expenses from an outsourced payroll service.
- Communicate with clients to gather financial information and clarify transaction details.
- Ensure compliance with accounting principles and company policies.
- Identify and resolve minor discrepancies in financial records.
- Maintain strict confidentiality and act with integrity when handling sensitive client data.
- Record financial transactions—enter customer invoices, vendor bills, and payments into QuickBooks.
- Categorize transactions and assign expenses and income to the correct chart of accounts.
- Reconcile bank and credit card accounts by matching transactions with statements.
- Process accounts payable and receivable, track vendor bills, generate invoices, and follow up on balances.
- Maintain the general ledger and ensure the accuracy of financial data.
- Set up and maintain client QuickBooks files, ensuring proper structure.
- Use QuickBooks bank feeds to download, categorize, and reconcile transactions efficiently.
- Generate QuickBooks reports, including Profit & Loss, Balance Sheets, and Cash Flow Statements.
- Ensure data accuracy by reviewing entries for duplicates or incorrect categorizations.
- Track and record sales tax, ensuring compliance.
- Prepare for month-end and year-end close by reconciling accounts and making adjustments.
- Support audit requests by gathering financial records.
- Handle client inquiries about invoices, reports, and QuickBooks functions.
- Manage vendor and bill payments and process employee reimbursements.
- Follow company bookkeeping SOPs and best practices.
- Stay updated on new QuickBooks features and industry changes.
- Collaborate with senior bookkeepers and accountants on financial reporting and advisory work.
What We're Looking For
- Associate degree in Accounting, Finance, or a related field (or equivalent experience).
- 1+ years of bookkeeping or accounting experience.
- Proficiency in QuickBooks (QBO and/or QBD) and Microsoft Office Suite.
- Strong organizational skills and ability to manage multiple clients.
- Honest and trustworthy with integrity and transparency in financial reporting.
- Basic understanding of bookkeeping principles and QuickBooks.
