Kids in the Game is hiring an Offsite & Swim Assistant Director - NYC Summer Camp

About the Role

The Offsite & Swim Assistant Director plays a vital leadership role at Kids in the Game, a Certified B Corporation running 13 summer day camps across Manhattan, Brooklyn, the Bronx, Westchester, and Jersey City. Reporting to the Camp Director, this position ensures that all off-site activities—including park visits, swim lessons, and field trips—are safe, well-organized, and aligned with the organization’s mission of building confident, compassionate, and connected kids through sports, creativity, and community.

What You'll Do

  • Act as the face of the camp during off-site activities, representing Kids in the Game to the public and vendors
  • Ensure all park, trip, and swim experiences meet Department of Health standards and Kids in the Game safety procedures
  • Check park safety daily, including landscape, public surroundings, transition routes, and required permits
  • Conduct regular visits to the park during the week to ensure safety standards are maintained by camp staff
  • Maintain appropriate staffing ratios (1:5) at all times and reassign staff as needed
  • Conduct pre-trip safety checks including materials, headcounts, medications, waivers, consent forms, emergency contacts, and buddy system
  • Monitor weather, route changes, and partner communication to make real-time safety decisions
  • Lead staff huddles before and after each off-site experience to reinforce expectations and reflect on improvements
  • Support in leading staff training on emergency response, first aid procedures, and appropriate camper management techniques
  • Respond calmly and effectively to behavioral, medical, or environmental incidents and communicate outcomes with families and leadership
  • Maintain a culture of psychological safety ensuring every camper and staff member feels physically and emotionally secure
  • Organize and confirm daily and weekly transportation plans including bus, subway, and walking routes
  • Provide training to other camp staff on off-site travel procedures such as buddy system, headcounts, Rule of 3, call and responses, staff placements
  • Review safety and supervision procedures prior to all on-site travel with campers and staff through daily meetings and all-camp rallies
  • Work with Division Leaders and Counselors to ensure campers understand safety procedures for parks, swimming, locker rooms, field trips, and large outings
  • Maintain accurate and updated group rosters and consent forms for park travel, open swim, swim lessons, and field trips
  • Confirm pre-purchased tickets/reservations in advance; confirm headcounts with partners and purchase additional tickets as needed
  • Prepare trip packs including contact lists, medications, attendance sheets, emergency documents, and incident report sheets
  • Coordinate swim groups by pulling accurate rosters, managing changing room transitions, and ensuring ratio coverage
  • Communicate off-site travel plans and relevant tasks proactively to staff and Camp Director for smooth rollout
  • Support the Admin Assistant Director with collecting and organizing swim and trip consent forms and documentation follow-up
  • Build trust by being visible and approachable during morning drop-off and afternoon pick-up, especially on swim/field trip days
  • Respond to parent questions clearly and confidently about safety, supervision, and expectations
  • Help create talking points and day-of updates so families feel informed and connected about off-site trips and swimming
  • Work with Admin Assistant Director and camp photographer to take photos and videos during off-site activities for upload to Waldo photo-sharing platform and inclusion in newsletters
  • Coach counselors on how to actively supervise, engage, and support different ages during swimming activities (inside and outside of the pool) and locker room transitions
  • Coach counselors on how to lead groups on field trips and park-based activities
  • Model problem-solving and calm leadership when plans change
  • Provide feedback in the moment to campers and staff to reinforce camper safety and professionalism
  • Collaborate with Programming & Admin Assistant Directors to ensure cross-team communication and collaboration
  • Ask for support when needed
  • Celebrate small staff wins and create a culture where experiences feel exciting and safe for everyone
  • Attend specific Assistant Director meetings and check-ins with the team
  • Support in completing Assistant Director duties
  • Connect with vendors and bussing companies to confirm weekly information
  • Support in preparing for weekly special events
  • Connect with Admin Assistant Director about swim information
  • Prepare off-site expectations and trip agendas
  • Support in answering parent questions or concerns
  • Attend Camp Leadership meetings and check-ins with the camp team
  • Support in staff retention efforts and touch points

What We're Looking For

  • Must be able to arrive by 7:30am daily via public transportation or personal transportation (car)
  • Must be able to stay on-site until 5pm daily (and until 5:30pm twice per week to oversee after care activities)
  • Must carry the camp mission into community spaces with calm presence, organization, and professionalism
  • Must interact with the public and vendors daily, including bus drivers and swim/trip vendors
  • Must lead with purpose, joy, and responsibility during transitions and off-site moments
  • Must create a sense of belonging during off-site experiences for nervous swimmers, new campers, and diverse ability levels
  • Must continually look for ways to elevate the off-site experience including smoother transitions, stronger safety systems, and clearer staff roles
  • Must maintain a positive, grounded, and optimistic energy during unpredictable moments such as weather changes, delays, or reroutes
  • Must ensure logistics are tight and safety feels intentional through preparation on ratios, documentation, medical needs, and backup plans
  • Must ensure every camper feels included on swim decks and field trips regardless of confidence, athleticism, or outgoing personality
  • Must advocate for accommodations, modify expectations when needed, and celebrate every camper win
  • Must hold space for emotions such as excitement, nerves, separation worries, sensory overwhelm, and first-time experiences
  • Must lead staff in seeing the child behind the behavior and responding with care
  • Must protect both emotional and physical safety so campers feel supported enough to try, risk, grow, and return with pride
