About the Role

Small Batch Standard is hiring an Office Manager to be the operational backbone of our remote team. You’ll own the critical details that keep our finance, admin, recruiting, and HR engines running smoothly.

What You'll Do

  • Set up client invoicing in QuickBooks Online and BenjiPays, send invoices, and configure billing schedules.
  • Run weekly billing follow-up, manage AR aging reports, and support basic AP for expenses and subscriptions.
  • Create and update recurring and one-time contracts from templates, generate agreements for signature, and maintain a pending contracts list.
  • Coordinate the annual contract and tax renewal processes.
  • Set up and post jobs in Breezy HR, LinkedIn, and Indeed; maintain hiring pipelines and templates.
  • Execute LinkedIn Recruiter outreach, review applicants, run initial screening, and coordinate interviews and offers.
  • Provide regular hiring pipeline updates to leadership.
  • Coordinate new hire setup with IT, administer onboarding in Gusto, and schedule onboarding plans.
  • Maintain accurate team member records in Podio, Gusto, and 15Five.
  • Manage company pages on our website, LinkedIn, Indeed, and Glassdoor.
  • Track PTO requests and other HR admin items.
  • Plan and coordinate the annual company retreat, internal milestone celebrations, and team-building events.

What We're Looking For

  • 3+ years in an Office Manager, Operations Administrator, Executive Assistant, or similar admin role.
  • Experience owning AR/AP and billing in QuickBooks Online or a similar platform.
  • Experience with HR and recruiting tools like an ATS (e.g., Breezy) and platforms like LinkedIn and Indeed.
  • Comfort working directly with leadership and clients in a professional services environment.
  • Demonstrated experience handling confidential information appropriately, including HR records and financial data.
  • Ability to work effectively in a remote environment with reliable internet and a quiet setup for video calls.
  • Availability during normal business hours (9am-5pm Eastern, Monday-Friday).

Nice to Have

  • Experience in a multi-client professional services or accounting firm.
  • Prior use of tools such as Gusto, Podio, or 15Five.

Team & Environment

You will report to the Founder/Director of Finance and Admin and work closely with the CEO and Director of Operations.

  • Compensation: $65,000-$80,000
