About the Role

Scalesource is hiring a Virtual Office Assistant (Executive & Operations Support) to act as a key operational and executive support partner for the leadership of a U.S.-based construction company. You will play a central role in daily operations, customer coordination, and administrative follow-up.

What You'll Do

  • Respond to customer inquiries via phone, email, and messaging platforms.
  • Provide clear and professional responses regarding services, pricing, and scheduling.
  • Assist customers in booking appointments and follow provided scripts to qualify potential customers.
  • Route qualified prospects to sales teams and manage calendars and appointment logistics.
  • Provide administrative assistance to sales representatives and follow up internally to ensure tasks are completed.
  • Monitor pending tasks assigned to sales staff, send reminders, and follow up on overdue actions.
  • Track daily operational activities and team follow-ups, assisting in logistics coordination.
  • Contact closed clients to request reviews, provide instructions, and follow up to increase completion.
  • Assist with QuickBooks Online and operational data entry tasks, maintaining accurate records.

What We're Looking For

  • Previous experience in customer service, administrative support, or office coordination roles.
  • Strong written and verbal communication skills in English and a professional, friendly style.
  • Strong organizational and multitasking abilities.
  • Experience working with CRM systems and familiarity with VoIP platforms like RingCentral.
  • Spreadsheet and data-entry experience.
  • Ability to work independently and within distributed teams.
  • A reliable high-speed internet connection, professional remote working environment, and capable computer.
  • Professional presence on video calls (Zoom, Meet) and comfort handling customer conversations.

Nice to Have

  • Familiarity with marketing tools such as Canva.
  • Basic financial data-entry familiarity.
