About the Role

Hunt St is looking for an NDIS Admin Assistant to ensure the smooth execution of financial processes for NDIS plan participants. Your accuracy and organisational skills will contribute to timely invoice handling, reliable budget tracking, and robust internal reporting—freeing Plan Managers to focus on client outcomes.

What You'll Do

  • Accurately and efficiently process provider invoices using Careview, including verifying provider ABNs and bank details, confirming item codes and price limits, and ensuring services align with approved NDIS plan categories.
  • Enter and track invoices through Careview's workflow (e.g., 'on hold', 'approved', 'extracted') and flag errors or inconsistencies to the Plan Manager prior to processing.
  • Use automation tools like Careview Streamline to reduce manual errors in invoice processing.
  • Assist Plan Managers by helping to monitor and manage participants’ budgets through Careview, including reviewing available funds before processing invoices and alerting the team if budgets are close to being exhausted.
  • Assist with monthly reconciliation of expenditure against budget categories and ensure funding is used in line with approved support categories (e.g., Core, Capacity Building).
  • Maintain up-to-date client records in line with operational and audit standards.
  • Adhere to all internal privacy and data protection policies, including never storing client data locally, using secure passwords and two-factor authentication, logging out of systems when not in use, and reporting data concerns immediately.
  • Coordinate with Plan Managers and the Operations team to ensure smooth workflows. You are not required to liaise with clients or external providers.
  • Provide back-office support to Plan Managers through Careview tasks such as updating invoice and claim statuses, managing document uploads and data entry, and monitoring queue progress and flagging priorities.

What We're Looking For

  • Proven experience in administration, bookkeeping, or finance support roles
  • Exceptional attention to detail and data accuracy
  • Proficient with Careview or similar client management/financial systems
  • Highly organized, with strong time management skills
  • Excellent written communication and internal collaboration skills
  • Ability to work efficiently and independently in a remote environment
  • Commitment to confidentiality and secure handling of sensitive information

Nice to Have

  • Familiarity with NDIS or disability services

Benefits & Compensation

This is a fully remote position open to candidates located in the Philippines.
