NMI is hiring a Medical Records & Referrals Specialist

About the Role

The position involves maintaining patient health records, processing referrals, and ensuring adherence to privacy standards while supporting seamless transitions in patient care.

Responsibilities

  • Maintain and update electronic medical records with high accuracy
  • Process patient referrals to specialists and external providers
  • Verify insurance and authorization details for referral services
  • Ensure compliance with HIPAA and other data privacy regulations
  • Coordinate with healthcare providers to confirm appointment scheduling
  • Track referral status and follow up on pending cases
  • Respond to internal and external requests for medical documentation
  • Organize and store physical and digital patient records
  • Support audits by providing accurate and timely record access
  • Identify discrepancies in patient data and initiate corrections
  • Assist in the onboarding of new referral partners
  • Communicate with patients regarding referral instructions
  • Maintain confidentiality of sensitive health information
  • Use medical terminology accurately in documentation
  • Collaborate with care coordination teams to streamline workflows
  • Generate reports on referral trends and processing times
  • Adhere to internal policies for data handling and retention
  • Participate in training for new record management systems
  • Escalate complex cases to supervisory staff when necessary
  • Ensure timely closure of referral cycles

Nice to Have

  • Experience in a multi-specialty clinic or hospital setting
  • Prior work with referral tracking systems
  • Familiarity with ICD-10 or CPT coding standards
  • Bilingual communication skills
