Join a growing AEC firm seeking a Marketing Coordinator and Proposal Writer to lead the development of high-quality, compliant proposals in response to government RFPs, RFQs, and RFIs. This role is central to capturing new business across public sector markets, including state and local agencies, municipalities, and aviation clients.
Key Responsibilities
- Lead the end-to-end proposal process—from kickoff to submission—by creating schedules, coordinating stakeholders, and managing deadlines and risk factors.
- Analyze solicitation documents to extract requirements, evaluation criteria, and compliance obligations, then shape content around strategic win themes.
- Write, edit, and refine technical narratives, executive summaries, past performance sections, and management plans, ensuring clarity and alignment with client needs.
- Translate complex engineering and operational concepts into accessible, customer-focused language that highlights value and differentiation.
- Manage content in Deltek VantagePoint, maintaining accurate records for leads, opportunities, teaming partners, and proposal outcomes.
- Collaborate with subject matter experts, designers, and subcontractors to produce unified, polished submissions that meet strict formatting and page limits.
- Apply structured proposal methodologies, including storyboarding, outlining, and color team reviews, to refine content through iterative feedback cycles.
- Maintain marketing libraries with updated project photos, technical sheets, and staff resumes, ensuring assets are current and submission-ready.
- Support external communications through website updates, LinkedIn posts, press releases, and newsletters highlighting project wins and firm milestones.
- Contribute to marketing collateral such as capabilities statements, pitch decks, and presentation materials for client interviews and conferences.
- Coordinate participation in industry events, managing booth logistics, sponsorships, and lead tracking at key gatherings.
- Conduct research on market trends, competitor activity, and client challenges to inform business development strategy.
Required Qualifications
- Bachelor’s degree in Marketing, Communications, English, Journalism, or a related field.
- 3–5 years of experience in marketing or proposal development within the AEC industry.
- Advanced proficiency in Adobe InDesign—specifically layout, master pages, and paragraph styles—with working knowledge of Photoshop and Illustrator.
- Expert-level skills in Microsoft Word and PowerPoint, particularly for creating interview presentations.
- Proven ability to interview technical staff and draft persuasive, compliant content that reflects both expertise and client priorities.
- Experience managing concurrent proposals under tight deadlines, including coordinating executive reviews using formal processes like Shipley.
- Familiarity with government contracting procedures, including RFQ/RFP workflows, compliance standards, and formal submission protocols.
- Exceptional attention to detail in editing, proofreading, and version control, with a commitment to brand consistency and accuracy.
- Ability to work on-site in Fort Worth during critical proposal cycles and travel occasionally for site visits or client meetings.
Preferred Qualifications
- Experience supporting proposals for airports, including familiarity with aviation terminology such as airside/landside operations, FAA regulations, and airfield design.
- Understanding of airport procurement audiences, including selection committees and governing boards, and the ability to tailor messaging accordingly.
- Hands-on experience with Deltek VantagePoint or Vision, particularly in managing leads, opportunities, and marketing pipelines.
- Background supporting rebranding or integration efforts following mergers or acquisitions.
- Active involvement in SMPS or certification as a CPSM.
- Skills in creating custom infographics, maps, and organizational charts beyond standard templates.
- Experience using AI tools to support drafting, summarization, or idea generation—paired with strong editorial oversight to preserve quality and brand voice.
- Ability to craft effective prompts using internal data to generate first drafts of resumes, project descriptions, or win themes.
