HireHawk is looking for a Legal Operations Assistant to support daily business operations and client transitions in a fast-paced legal environment. You'll collaborate closely with the Operations Department to ensure smooth client file transfers and maintain accurate records, committed to the highest standards of confidentiality.

What You'll Do

  • Coordinate comprehensive client transition processes, ensuring accurate file transfers while maintaining strict confidentiality
  • Draft and distribute notification letters to medical providers, insurance companies, and relevant parties
  • Maintain detailed records and update internal databases to accurately reflect client status changes
  • Support operational efficiency by scheduling team meetings, distributing minutes, and updating procedure documents
  • Collaborate with management to identify and resolve operational issues

What We're Looking For

  • Hands-on experience supporting an Operations team within a legal services environment
  • Advanced proficiency in Microsoft Office, with exceptional Excel skills for data management
  • Professional work experience in a U.S. business environment
  • Strong analytical skills with the ability to process and interpret high-volume datasets
  • Proven ability to manage spreadsheets and perform complex data manipulation in Microsoft Excel
  • Working knowledge of internet-based software, spreadsheet applications, and word processing tools
  • Some college coursework completed, demonstrating foundational academic and professional preparation
  • Strong commitment to maintaining confidentiality of sensitive client information and internal work product
  • Excellent communication skills, including drafting correspondence and coordinating cross-department transitions
  • Ability to accurately update and maintain complex internal databases and documentation systems
