Purdue University’s College of Pharmacy is looking for a Lead Administrative Assistant to provide essential administrative support, coordinating graduate programs and research initiatives. This is a 10-month position running from August 1 to May 31, where you will serve as an Assistant Building Deputy and contribute to a safe, efficient environment.
What You'll Do
- Collaborate with and provide support for the Associate Dean for Graduate Programs and department chairpersons.
- Coordinate College relationships, including international, foundation, and corporate partnerships, and manage the Summer Undergraduate Research Fellowship (SURF, SROP) program.
- Coordinate with the Graduate School and College Faculty and Business Office to determine funding availability and the number of fellowships available.
- Coordinate annual events, including the welcome reception for new graduate students, the College of Pharmacy Research Day Graduate Student Awards Symposium, and the Purdue College of Pharmacy Tyler Symposium.
- Provide support for the Associate Dean for Research.
- Coordinate faculty development opportunities, including grant talk luncheons, faculty leave forums, junior faculty development meetings, and annual safety and responsible conduct in research meetings.
- Coordinate the College of Pharmacy graduate fellowship, travel awards, and Graduate School recruiting fellowship awards.
- Serve as the main point of contact with the Graduate School on all matters relating to graduate education.
What We're Looking For
- A High School Degree or GED.
- Four (4) years of experience in an administrative support role.
- Administrative support experience involving organizational activity, graduate school knowledge, and communication with faculty, students, and administrators.
- Excellent written, verbal, and interpersonal communication skills.
- Strong drafting, proofreading, and editing skills.
- Strong organizational and time management skills and attention to detail.
- Advanced computer and related software skills, including Word, Excel, PowerPoint, Outlook, and Internet.
- Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
- Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs.
- Ability to interpret policies and procedures to proactively resolve issues or improve processes.
- Ability to identify problems and implement or recommend solutions.
- Ability to lead others and provide direction and constructive feedback.
- Training or experience with Banner, Slate, Work order system, DFA database, Graduate School database, and Cognos.
