Insideoutva is looking for an Inside Out assistant to support the back office of a U.S.-based home services business. Your primary focus will be managing email and text-based customer communication and coordinating schedules inside Jobber. The role will start with core communication and organization tasks, expanding as you become familiar with the business.
What You'll Do
- Handle customer communication primarily via email and text messaging in a human, helpful, non-robotic tone.
- Manage inbox daily as a top priority, keeping response times tight and threads organized.
- Coordinate and update schedules in Jobber, including frequent changes due to weather and operational shifts.
- Assign field teams to jobs inside the CRM and maintain an accurate, up-to-date schedule.
- Send proactive customer updates via email or text when schedules or job details change.
- Track key operational information and maintain clean, accurate records.
- Support general administrative and organizational tasks as needed.
- Collect and track team hours and update timesheets or internal trackers.
- Provide basic reporting support related to jobs, schedules, and performance data.
- Assist with job costing and keep job-related information organized for the owner.
What We're Looking For
- C1 English level is required.
- Strong written English for customer service via email and text.
- Customer service experience (written communication is sufficient).
- Comfortable with scheduling coordination and operational admin tasks.
- Detail-oriented handling of schedules, hours tracking, and CRM data.
- Strong critical thinking; attempts solutions before escalating questions.
- Proactive mindset with the ability to work independently once trained.
- Excellent prioritization skills and daily task management.
- Professional, personable communication style—customers should feel valued and heard.
- Adaptable and comfortable with frequent changes and shifting priorities.
Nice to Have
- Jobber CRM experience preferred (not required).
