Horizon Recovery is seeking a Human Resource Assistant to own the critical, ongoing auditing of personnel files to ensure consistent compliance with state Department of Health and The Joint Commission standards. This role is a cornerstone of our operational integrity, keeping the organization survey-ready and mitigating risk through meticulous, repetitive work.
What You'll Do
- Conduct daily, periodic, and ad-hoc audits of personnel files for employees, contractors, interns, and volunteers.
- Verify presence, accuracy, and timeliness of required documentation including offer letters, I-9s, background checks, licenses, health screenings, and training records.
- Maintain a live compliance tracker for all expiring items and send renewal reminders.
- Proactively contact employees to request missing or expiring items and escalate non-compliance to managers and the HR Director.
- Prepare HR file packets for external surveys and support mock surveys and corrective action plans.
- Update and reconcile records in HRIS, LMS, and compliance trackers, ensuring data integrity and privacy.
- Provide weekly compliance dashboards and risk reports to HR leadership and program managers.
What We're Looking For
- High school diploma or equivalent.
- 1–3 years in HR, compliance, credentialing, or healthcare administration.
- A work style that enjoys repetition, values routine and consistency, and takes pride in perfect accuracy.
- Excellent written and verbal communication; professional, clear, and persistent follow-up.
- Proficiency with HRIS/LMS platforms and spreadsheets (filters, pivot tables, data validation).
- Ability to work independently in a remote setting while protecting confidential information.
Nice to Have
- Experience in healthcare or behavioral health settings.
- Familiarity with TJC HR standards and state Department of Health personnel file requirements.
- Experience with OIG/SAM checks, background screening portals, and document management tools.
