Responsibilities
- Handles pre-award tasks in alignment with specific funding proposal requirements and contractual terms.
- Collaborates with academic staff during proposal development and submission phases.
- Manages proposal budgets, financial analyses, and justifications; collects data for compliance protocols and non-scientific components as needed.
- Acts as a communication bridge between department leadership, faculty, and administrative personnel.
- Maintains awareness of evolving federal and university research administration policies and complex regulatory standards.
- May manage proposal submissions, assist principal investigators with budget preparation, and secure cost estimates from internal departments.
- Gathers and verifies regulatory-compliant data from multiple sources.
- Partners with principal investigators to compile and submit complete grant applications per agency and institutional standards.
- Prepares and reviews all required forms for grant submission.
- Enters budget documentation into online systems when necessary.
- Secures required signatures from principal investigators and the institution for proposal submissions.
- Initiates subaward setup using the SUBS system, uploads pre-award documents, and transfers records to post-award teams for fund assignment.
- Coordinates with post-award staff and the Office of Sponsored Research Services to ensure timely contract and subcontract implementation via the SUBS system.
- Distributes internal notices of award, including sponsor documents, to research offices and principal investigators, highlighting special conditions and committed effort levels.
- Tracks and supports submission of annual progress reports such as RPPRs in collaboration with principal investigators.
- Collaborates with post-award teams on budget revisions.
- Manages the transfer and onboarding of principal investigator grants and contracts to the institution.
- Coordinates responses to internal and external requests for grant-related materials, including biosketches, trainee details, and protocol approvals.
- Maintains an accurate, up-to-date database tracking all grant submissions, awards, and rejections.
- Assumes responsibility for closing sponsored project accounts.
- Submits final progress reports and invention disclosures to funding agencies when applicable.
- Follows up with principal investigators to ensure timely submission of overdue technical, outcomes, patent, and property reports.
- Monitors and manages budgets for sponsored projects, ensuring appropriate and timely spending and fund reconciliation.
- Approves procurement requests and advises purchasing staff on allowable expenses per grant guidelines.
- Reviews fund setup accuracy and resolves complex financial reporting errors.
