Support high-level executives in a fast-paced, international technology environment by managing complex schedules, travel logistics, and confidential communications. You'll play a central role in ensuring executive efficiency across global time zones, coordinating critical meetings, and enabling seamless collaboration.
Key Responsibilities
- Oversee and optimize dynamic calendars for C-suite executives, balancing priorities and resolving scheduling conflicts across regions.
- Organize high-impact meetings including board sessions, leadership summits, customer engagements, and company-wide events, ensuring all logistical and technical needs are met.
- Coordinate end-to-end domestic and international travel, including flights, accommodations, and ground transportation.
- Prepare and format sensitive documents, presentations, and correspondence with precision and discretion.
- Process expense reports and invoices accurately and promptly using digital tools.
- Handle confidential information with professionalism and maintain strict confidentiality at all times.
Qualifications
- Minimum of 5 years in an executive or administrative support role, ideally within a global tech organization.
- Proficiency with Google Workspace, especially Calendar, for managing multi-time zone scheduling.
- Experience with travel management platforms such as Egencia and expense reporting tools like Expensify.
- Strong command of video conferencing systems including Google Meet and Zoom.
- Excellent written and verbal English communication skills.
- Ability to interact effectively with executives, board members, and international teams.
- Must be based in and legally authorized to work in Mexico.
