Hire Overseas is seeking an Executive Assistant (Chief of Staff) to serve as the founder's primary partner, handling coordination, information flow, and execution across multiple ventures and private equity investments. This is a foundational role designed to evolve into a Chief of Staff position as our portfolio grows.
What You'll Do
- Manage complex calendars, inboxes, meetings, travel, and follow-ups.
- Maintain alignment across multiple business units and private equity portfolios.
- Consolidate communication from several inboxes and teams into a single source of truth.
- Conduct light research and prepare decision-ready briefs for meetings and reports.
- Translate high-level objectives into structured plans and lightweight processes.
- Track project status, deliverables, and next steps across business lines.
- Create simple workflows and documentation to replace ad-hoc systems.
- Coordinate between stakeholders, partners, and internal teams.
- Write concise updates, summaries, and decision memos.
- Anticipate needs, identify blockers early, and propose solutions.
- Protect the founder’s time by filtering noise, prioritizing actions, and ensuring follow-through.
What We're Looking For
- 4–7+ years of experience in executive support, operations, or Chief of Staff-adjacent roles.
- Proven ability to take a 25–40 item brief and independently build steps toward completion.
- Excellent written and verbal communication; able to synthesize and prioritize quickly.
- Comfortable with Google Workspace, Asana, Notion, or ClickUp, and basic spreadsheet functions.
- Highly organized, proactive, and calm under pressure.
Nice to Have
- Experience in private equity, venture capital, or agency operations.
- Familiarity with financial or administrative workflows (payments, invoices, vendor tracking).
- Process design, SOP documentation, or operational build-out experience.

You will work directly with a founder-operator across multiple ventures and investment groups, reporting to the Founder. - Paid in USD (bi-monthly: every 15th and 30th).
