About the Role

BDO Australia is looking for an Executive Assistant to join our Advisory team in Sydney. You will provide operational support to multiple Partners and the broader team, enabling the efficient functioning of our service line.

What You'll Do

  • Actively manage Partners' calendars, schedule appointments, resolve conflicts, and plan weeks ahead for priorities, travel, and preparation time.
  • Provide financial administration support, managing client work in progress, debtors, accounts for payment, and preparing monthly invoices.
  • Deliver administrative and billing support, proactively managing approval workflows to help achieve monthly billing budgets.
  • Assist with meeting preparation and follow-up by creating agendas, briefing notes, pre-reads, and tracking actions.
  • Provide high-quality document and presentation support, including formatting and proofing client-facing and internal materials.
  • Manage team compliance with the Firm’s Risk Management Policies, including client onboarding, conflict checks, and ASIC searches.
  • Collaborate with marketing on tenders, presentations, client events, CRM database maintenance, and related reports.
  • Coordinate team initiatives, including functions, recurring meetings, training sessions, and tracking employee movements.
  • Book domestic and international travel for Partners and the team.
  • Assist Partners with expenses, timesheets, internal reporting, and ad hoc administrative requests.
  • Work closely with the wider Administration Team to provide support and coverage, ensuring efficient operation.
  • Work cohesively with all areas of the firm, including members of the Shared Services teams.

What We're Looking For

  • A lengthy background in professional services supporting multiple Partners or Senior Leaders with a wide range of needs.
  • Ability to uphold a high degree of confidentiality, professionalism, maturity, and integrity regarding sensitive matters.
  • A natural, approachable demeanour with a genuine desire to help and support colleagues in all work-related matters.
  • A proactive and conscientious approach, with a willingness to complete all aspects of the role.
  • An ability to handle competing urgent requests, ambiguity, and last-minute changes with composure.
  • High attention to detail and strong organisational skills for both self and team.
  • A strong level of customer service and high responsiveness to internal and external stakeholders.
  • Enthusiasm to be part of a team, always willing to assist colleagues from all teams and levels.
  • Proficient Microsoft Suite skills (minimum intermediate level for Excel).

Team & Environment

You will work within the Advisory team, supporting multiple Partners and the broader team. The role involves close collaboration with the wider Administration Team and Shared Services teams across the firm.
