About the Role

Back to jobs is hiring an Executive Assistant to support the Founder and CEO. This role is a critical partner in the Executive Office, ensuring the CEO's focus is directed toward the highest-value priorities. You will be a proactive individual who manages logistics, synthesizes information into actionable next steps, and serves as a trusted thought partner in our fully-remote environment.

What You'll Do

  • Own and optimize the CEO’s calendar, strategically aligning scheduling decisions with business priorities.
  • Plan and manage complex domestic and international travel, including providing real-time logistical support and traveling as required.
  • Act as the first line of triage for the CEO’s inbox and communication channels, distilling inputs into prioritized action items.
  • Identify potential challenges before they arise and take initiative to resolve them independently or with minimal input.
  • Assist in managing projects by distilling key updates into concise daily briefings and preparing reports and presentations.
  • Prepare and track monthly expense reports for business and personal accounts, proactively monitoring budgets.
  • Act as a liaison between the CEO and various internal and external stakeholders to coordinate calendars, meetings, and travel.
  • Organize corporate and personal events, including handling invitations, catering, logistics, and guest management.
  • Run errands and handle various personal tasks, such as shopping and coordinating personal appointments.
  • Manage private and sensitive issues with discretion, maintaining confidentiality.

What We're Looking For

  • Significant experience in a similar executive assistant role.
  • Exceptional organizational and time management skills.
  • Advanced communication skills (written and verbal).
  • High level of discretion and confidentiality.
  • Proactive problem-solving abilities.
  • Willingness to be available outside of standard 9-to-6 hours, including nights, weekends, and travel.
  • Proficiency in Google Workspace, Microsoft Office Suite, and project management tools like Asana.
  • Exceptional interpersonal and relationship-building skills.
  • An authentic desire to support others.
  • Adaptability and flexibility in a fast-paced environment.
  • Knowledge of the complexities of booking travel, including airline, hotel, and visas.
  • Competence in planning, coordinating, and executing corporate and personal events.
  • Understanding of expense reporting, budgeting, and financial tracking.
  • A friendly and professional demeanor with a customer service orientation.
  • Familiarity with the organization’s mission, values, and key stakeholders, with a passion for Wild Alaskan’s mission.
  • Ability to manage multiple ongoing projects and responsibilities simultaneously.
  • Willingness to work closely with colleagues and coordinate shared initiatives.
  • Strong ability to work independently in a remote team environment.
  • Capability to remain calm and effective in high-pressure situations.
  • Curiosity and a proactive attitude toward continuous personal and professional growth.

Team & Environment

You will be a core member of the Executive department, reporting directly to the CEO.

Benefits & Compensation

  • Salary range: $100,000 to $120,000 per year.
