DeepMetis is hiring an Executive & Operations Assistant (Remote, Part-Time to Start)

About the Role

What You'll Do

Support two founders across a dynamic portfolio of startups, investments, and advisory projects by managing day-to-day operations and administrative workflows. You'll coordinate complex calendars, handle meeting logistics, and ensure timely follow-ups across time zones. Your role includes organizing inboxes, drafting professional messages, and preparing concise summaries for decision-making.

Handle travel arrangements, including booking and itinerary planning, while managing related documentation. Maintain accurate records for expenses, invoices, and payments, ensuring all financial data is complete and ready for review. Keep digital files, contracts, and archives systematically updated and easy to retrieve.

Conduct targeted online research, compile comparison lists, and support light branding efforts, including coordination on LinkedIn and other professional platforms. Assist with personal tasks such as scheduling appointments, managing service providers, and handling routine paperwork. Leverage AI tools and digital platforms to increase efficiency and reduce repetitive work.

Requirements

  • Fluency in both English and French, with strong writing and speaking skills
  • Exceptional attention to detail and a methodical approach to organization
  • Proven ability to work independently with discretion and integrity
  • Experience with Google Workspace, Notion, and spreadsheet software
  • Strong written communication skills and professional judgment
  • Ability to manage multiple priorities under approval frameworks
  • Self-motivated with a proactive mindset and solid time management
  • Familiarity with invoice tracking, expense reporting, and document management
  • Interest in using AI tools to enhance productivity and accuracy
