CALSTART is hiring a Drive to Zero Project Coordinator

About the Role

The Drive to Zero Project Coordinator plays a central role in advancing international efforts to decarbonize transportation. You will coordinate key global and regional events—both virtual and in-person—including high-profile forums such as COP, CEM, and the Global MOU meetings. Your work will ensure timely delivery of materials, effective team preparation, and strong follow-through on commitments.

Key Responsibilities

  • Manage event timelines and deliverables, including coordination of panelists, submission tracking, and participant follow-up
  • Prepare internal teams with briefing documents, agendas, and post-event debriefs
  • Support sponsorship outreach and maintain relationships with event partners
  • Track project milestones and drive accountability through regular check-ins and status updates
  • Coordinate travel arrangements for senior staff attending international summits
  • Schedule and support internal and external meetings, including agenda development and note-taking
  • Maintain organized, up-to-date records across digital platforms, ensuring version control and accessibility
  • Facilitate internal communication to keep teams aligned on priorities, deadlines, and stakeholder engagement

Qualifications

You bring 3–5 years of professional experience and a bachelor’s degree. You are highly organized, proactive, and skilled at managing multiple priorities in a fast-moving environment. You communicate effectively with diverse stakeholders and take initiative in tracking details and driving tasks to completion.

Proficiency with Microsoft Office, videoconferencing tools (Zoom, Teams), and project management platforms (Monday, Planner) is essential. Experience in event coordination, international collaboration, or sustainability policy is strongly preferred. Fluency in Spanish or French is an asset, as is experience working in multicultural, multilingual environments.

Work Environment

This is a hybrid role, combining remote work with in-person engagement for key events and meetings. The position supports a mission-driven team focused on equitable access to clean transportation and achieving clean air for all through global collaboration.
