Responsibilities
- Plan and execute the company-wide offsite, including venue selection, logistics, budget management, agenda creation, and on-site coordination.
- Collaborate with team leads to plan team-level events and offsites, balancing individual team needs with overall budget and timeline constraints.
- Organize a regular schedule of virtual events that foster team cohesion across a distributed workforce.
- Manage relationships with coworking providers and physical space vendors, handling renewals, capacity planning, and daily operational issues.
- Serve as the primary contact for in-office or coworking space needs, such as desk capacity, meeting room access, and badge or access logistics, ensuring teams can work without disruption.
- Evaluate and recommend new coworking locations as the team expands or changes geographically.
- Own the end-to-end rewards and recognition program, including platform management, nominations, and creating meaningful moments for employees.
- Improve the remote and hybrid experience through initiatives like swag, onboarding touches, and small rituals that matter when face-to-face interaction is limited.
- Source, negotiate with, and manage vendors for venues, catering, travel, audiovisual equipment, swag, and event platforms.
- Manage event budgets from forecasting through reconciliation, flagging variances proactively.
- Handle the full logistics chain for events, including invitations, RSVPs, travel arrangements, run-of-show documents, day-of execution, and post-event wrap-up.
- Collect feedback after each event and use it to improve future events.
- Travel as needed to support offsites and in-person events, approximately 10–25% of the time.
