We are seeking a meticulously organized and precision-focused Event Operations Administrative Assistant to enhance our UK event team's capabilities. This is a freelance, home-based position in South Africa, perfectly suited for an emerging events professional desiring hands-on experience in event operations, logistics, and administration within a dynamic B2B environment. About the Role You will be instrumental in ensuring seamless planning and execution of our comprehensive event portfolio, delivering critical back-office and logistical support. Collaborating directly with senior events personnel in the UK, you will manage documentation, coordinate vendor relationships, handle event deliverables, and facilitate operational workflows from initial planning through final implementation. This position demands exceptional organizational prowess, precision, communication capabilities, and the ability to effectively manage multiple concurrent deadlines. Key Responsibilities Administrative & Logistics Support - Maintain precise event documentation, tracking systems, schedules, and shared resources. - Gather and manage sponsor and speaker materials (biographical information, professional images, branding elements, deliverables). - Update event digital platforms with programme details, speaker profiles, and sponsor information. - Develop and distribute marketing materials and operational documentation. - Coordinate courier services, shipment logistics, and material printing. Supplier & Stakeholder Coordination - Engage suppliers for quotations, confirmations, and fundamental logistical arrangements. - Communicate with sponsors and speakers to ensure timely asset submission. - Provide progress updates to internal departments (marketing, editorial, sales). Financial & Reporting Responsibilities - Maintain accurate financial documentation and support budgetary tracking. - Process invoicing and ensure comprehensive documentation. - Contribute to weekly progression reports and identify potential risks or delays. Essential Skills & Experience (must-have) - 1+ year experience in events, logistics, administration, or related fields. - Advanced website content management capabilities. - HTML or basic coding knowledge is highly advantageous. - Exceptional organizational skills and meticulous attention to detail. - Confident communication abilities with suppliers, sponsors, and internal teams. - Capacity to manage multiple deadlines while maintaining composure. - Extreme precision in event logistics execution. - Microsoft Office proficiency, particularly Excel. - Experience with event or project management systems. - Proactive, collaborative learning approach. - Home office setup. Desirable Qualifications - Background in events, media, or B2B publishing. - Familiarity with event technology platforms. - CRM/supplier management system experience. - Basic understanding of contractual arrangements. - Proficiency in Canva, PowerPoint, Gmail. - Creative problem-solving and design sensibility.
