AECON – Aecon Group Inc. is hiring a Document Control Coordinator to join the team delivering the Scarborough Subway Extension – Stations, Rails and Systems (SSE-SRS) project. You will be responsible for managing project documentation, maintaining distribution matrices, and supporting document control activities within electronic document management systems.
What You'll Do
- Maintain the project distribution matrix within the EDMS (Aconex).
- Identify and escalate processing or system issues to the Document Control Manager in a timely manner.
- Identify opportunities for continuous process improvement and monitor for new software solutions.
- Assist in maintaining a reporting system to track all NCR’s, CAR’s, RFI’s, Change Requests, and other critical documentation from start to finish.
- Assist project teams with creating and developing reports in the EDMS (Aconex).
- Assist in the preparation of the end of project report using Aconex.
- Assist in the creation, communication, implementation, maintenance, and auditing of all required contract submittals.
- Assist in maintaining a reporting system to track all RFI’s through the key milestones of their lifecycle.
- Ensure the receipt, capture, control, and access of all project documents.
- Allocate project document and drawing numbers as required per project guidance and client requirements.
- Support document control activities within Autodesk Construction Cloud.
- Maintain and organize project documentation using SharePoint, including permissions and version control.
- Maintain the RFI log and Submittal Tracker for your assigned zone, ensuring accuracy and providing summary reports.
- Ensure achievement of established turnaround specifications for document processing and distribution.
- Assist with post-construction document archival and retention per project specifications.
What We're Looking For
- Post-secondary education – Bachelor’s Degree or College Diploma preferred, or equivalent experience.
- 1-3 years of document control experience in a construction project or site environment.
- Proficient in electronic file management (e.g., Explorer and WinZip).
- Intermediate to advanced knowledge of PDF software such as Adobe Acrobat and Bluebeam.
- Ability to accurately set up, create, and maintain documentation metadata.
- Ability to interpret and implement processes, procedures, workflows, and standards.
- Ability to document work tasks and create work instructions.
- Experience working in a site or project team environment with the proven ability to build relationships.
- Excellent written and verbal communication skills.
- Exceptional organizational skills, with a proven ability to meet deadlines in a fast-paced environment.
- Familiarity with EDMS systems such as Aconex and/or Unifier.
Nice to Have
- Familiarity with Autodesk Construction Cloud is an asset.
