Responsibilities
- Coordinate and schedule meetings with internal and external individuals and groups.
- Schedule and protect priority work blocks and tasks.
- Collaborate closely on priorities and use best judgment when protecting time.
- Maintain space between meetings as needed.
- Respond to all requests for time with director-level members of the Development Team.
- Serve as the primary point of contact for all scheduling requests.
- Balance priorities for all requests for director-level members of the Development Team, including staff, SURJ partners, donors, and members.
- Work closely with the development team to ensure director-level members are prepared for meetings with lead and major donors, and have data to monitor income goals.
- Support Development Committee meetings by scheduling, drafting agendas, attending to take notes, and coordinating follow-up.
- Work with the communications team and Deputy Development Director to intertwine development and communications strategies.
- Manage communications strategies created by the DOI, including drafting and proofreading materials.
- Manage director-level contributions to key internal systems like EveryAction and Asana, including updating EveryAction after donor meetings and tracking email communications.
- Manage several director-level public-facing email accounts, including prioritizing, tracking, drafting, and sending responses.
- Fill out director-level timesheets each month to reflect time across 501c3, 501c4, and PAC activity.
- Work with all Development Team members on data maintenance, data input, and updating the team calendar and projects.
- When requested, manage travel from start to finish, including finding accommodations, creating itineraries, and managing changes.
- When requested, ensure director-level members are fully prepared for travel, including registering for events and confirming in-person meetings.
- When requested, support follow-up from travel, including thank-you notes and tracking next steps.
- Support scheduling and task coordination among the growing development team, ensuring all members have needed information.
- Assist in data input and maintenance for all Development Team members, including the Impact Team organizer and Grants Manager.
- Support logistics and travel plans for Development Team in-person gatherings and individual work travel.
- Assist in creating and maintaining Asana Project Management for the Development Team.
- Undertake any other duties or projects reasonably required and deal with matters in a timely manner.
