Omilia is hiring a Contract Associate for a 6-month contract position focused on document control and records management. You will be based in San Rafael and will manage end-to-end contract processes, acting as a critical liaison between internal teams and external vendors.
What You'll Do
- Manage end-to-end contract processes, including receiving, submitting, monitoring, and tracking a large volume of contracts from draft through final signatures
- Monitor and track a high volume of requisition requests from initial submission through financial approval and PO creation
- Create and submit contract and financial requisition requests using platforms like SAP/Ariba and Coupa/Spend Source
- Research vendors in systems to determine if they are active prior to establishing new contractual relationships
- Handle new supplier submissions and updates to existing supplier records as necessary
- Draft and route multiple contract types for review and negotiation, including Non-Disclosure Agreements, Scopes of Work, and Change Orders
- Act as a liaison between internal business partners and outside vendors to facilitate contract execution
- Build and maintain strong relationships with internal business partners across the organization
- Engage with other functional areas to assess and respond to contracting and requisition needs, obligations, and required revisions
- Monitor and coordinate complex workflows between the business, Procurement, Finance, and Legal Departments to ensure tasks progress in a timely manner
What We're Looking For
- Prior experience in contract management is required
- 3 to 5 years of experience with end-to-end contract management
- Strong acumen for SAP/Ariba and Icertis
- Comfort with ambiguity and the ability to navigate complex processes and systems
- The ability to work autonomously and proactively, capable of troubleshooting and figuring things out independently
- Detail orientation with strong proofreading and editing skills
