About the Role

The Mexican American Catholic College is hiring a Coordinator to provide strategic, implementational, and administrative support to the Project Director for Children’s Initiatives and the Associate Director of Lifelong Learning. You will be instrumental in ensuring the smooth day-to-day operations and workshop implementation of these vital projects.

What You'll Do

  • Provide comprehensive administrative and clerical support for the projects, serving as the initial contact for inquiries.
  • Ensure accurate and timely execution of complex administrative processes, including documentation and reporting.
  • Communicate professionally with internal departments and external partners, maintaining a solution-oriented approach.
  • Manage the administrative filing system and project files.
  • Process Purchase Orders, track budget data, and maintain financial documentation.
  • Utilize Excel and other software to develop spreadsheets for monitoring budgets, registrations, and operational workflows.
  • Design marketing materials for print, web, and social media to promote regional projects.
  • Conduct outreach and foster relationships with dioceses, leaders, students, vendors, and other stakeholders.
  • Assist directors in managing project dealings with printers, suppliers, and advertisers.
  • Adapt to shifting priorities and manage time-sensitive requests effectively.
  • Prepare documents and information for grant requests and reports.
  • Work collaboratively with staff and contract services on project-related tasks.
  • Assist in planning, developing, and conducting training events and workshops.
  • Coordinate the use of program archives and ensure proper record retention.
  • Assist with scheduling, sending invitations, and conducting meetings.
  • Keep directors informed of task progress and assist in meeting deadlines.
  • Engage in personal growth, professional development, theological study, and spiritual formation.
  • Adhere to safety protocols and ensure personal and collective well-being.
  • Protect the confidentiality of all organizational information.

What We're Looking For

  • Three or more years of experience performing complex administrative support duties, including minute-taking, word processing, graphic design, event planning, spreadsheet management, and maintaining filing systems.
  • Must be bilingual in English and Spanish.
  • A Bachelor’s degree in Business Administration or a related field, or additional experience in lieu of education.
  • A High School Diploma is required.
  • Effective oral and written communication skills in English and Spanish.
  • Proficiency in general office practices, procedures, and equipment.
  • Demonstrated proficiency in Word, Excel, Outlook, graphic design software, and database program(s).
  • Ability to multi-task, manage multiple priorities, and adapt to shifting deadlines.
  • Strong organizational skills and the ability to work with minimal supervision.
  • Ability to maintain strict confidentiality.
  • Ability to work cooperatively with colleagues, departments, and external partners.
  • Ability to learn new programs quickly.
  • A detail-oriented, organized, and self-motivated approach to work, both independently and on a team.
  • Ability to write and format letters for different occasions.
  • Ability to organize files and office systems.
  • Experience with computer and office software.

Team & Environment
