Role Overview
This position oversees the complete lifecycle of investigator payments within global clinical trials. As a key financial and operational partner, the specialist ensures payments are processed accurately and on schedule, aligned with clinical agreements, study budgets, and regulatory standards. The role operates remotely, serving studies across Mexico and Eastern Europe, and acts as a central point of contact for payment-related inquiries from investigative sites, sponsors, and internal departments.
Key Responsibilities
- Manage end-to-end payment workflows for assigned clinical studies, from initiation to reconciliation
- Collect and verify financial and contractual data from multiple sources to support payment accuracy
- Interpret clinical trial agreements, budgets, and payment schedules to ensure compliance
- Produce and distribute monthly payment summaries, highlighting paid and outstanding site obligations
- Conduct regular reconciliations and analyze variances between budgeted and actual expenditures
- Identify patterns in payment discrepancies and recommend process improvements
- Support audit and inspection activities by preparing documentation and responses
- Collaborate with finance, clinical operations, and project teams to align on payment forecasts and reporting
- Respond to inquiries from investigative sites and internal stakeholders with timely, accurate information
- Participate in project and client meetings to provide payment status updates and insights
- Maintain organized records and standardized filing systems for financial documentation
Qualifications
Candidates must demonstrate strong organizational abilities, attention to detail, and fluency in both English and the local language of their region. Proficiency in Microsoft Office, particularly Excel and Access, is essential. A solid understanding of ICH GCP, FDA, or EU regulatory guidelines as they relate to clinical finance is required. The ideal candidate is self-directed, customer-focused, and capable of managing multiple priorities in a fast-moving environment.
Preferred experience includes at least two years in a financial or administrative role within a clinical research organization or pharmaceutical company. A bachelor’s degree, or equivalent experience in office administration or project coordination, is highly valued. Advanced written and spoken English skills are expected.
