Scale Virtually was looking for a Client Onboarding & Process Manager (Remote)

Scale Virtually is looking for a Client Onboarding & Process Manager to own the client journey from contract signing through placement readiness and operational transition. This is a delivery and relationship management role focused on ensuring a smooth and effective onboarding process.

What You'll Do

  • Lead structured onboarding and discovery calls with new clients.
  • Set clear expectations around project scope and timelines.
  • Translate client workflows into structured SOP documentation.
  • Draft and refine detailed job descriptions for new roles.
  • Coordinate with Placement Specialists during the recruitment process.
  • Manage client alignment and communication throughout onboarding.
  • Train newly placed Virtual Assistants on delegated workflows and documented processes.
  • Ensure a smooth transition of clients into ongoing operations.

What We're Looking For

  • 3–6+ years of experience in client onboarding, implementation, account management, or operations.
  • Proven experience managing client expectations in structured, process-driven environments.
  • Direct experience building SOPs or similar process documentation.
  • Strong written and verbal English communication skills.
  • Ability to balance structured process with relationship management.
  • Comfortable working cross-functionally within a remote team.

Nice to Have

  • Experience in BPO, SaaS operations, or startup environments.
  • Familiarity with project management tools such as ClickUp or Monday.com.
  • Exposure to automation or process improvement initiatives.

Team & Environment

You will report directly to the Client Services Manager and collaborate closely with both the Placement and Operations teams.
