Bastion is seeking a Chief of Staff to the COO to serve as a key operational partner, operating at both a strategic level and diving deep into execution. You will be responsible for driving clarity, improving coordination, and helping the business run better by managing a wide range of initiatives.

What You'll Do

Operate at a strategic level, supporting board preparation, investor updates, planning cycles, and OKRs.
Run SLT meetings and offsites, owning the mechanics including pre-work distribution, document preparation, and follow-through.
Build scalable systems in Notion.
Coordinate hiring approvals.
Drive key operational projects such as NYC office buildout, expense policy development, and data room creation.
Help stand up new functions or own projects during team coverage gaps.
Build connective tissue across GTM, Product, Finance, and Compliance.
Roll out a working OKR or strategic goals system with visibility across teams and tracking for quarterly progress.
Launch a company-wide decision log to track key strategic decisions, tradeoffs, and rationale.
Maintain a fully operational leadership operating calendar and SLT forward planner.
Stand up a repeatable all-hands format including agenda themes, content flow, and post-meeting summaries.
Partner with People Ops to improve internal communication, onboarding sequencing, and shared visibility into planning processes.
Coordinate leadership priority setting and lead tracking against deliverables from executive and company-wide forums.
Manage follow-through on action items from board meetings, offsites, founder 1:1s, and strategy sessions.
Reinforce OKR check-in rhythm and create easy workflows for status updates and accountability.
Run point on complex operational initiatives like internal expense policy rollout, insurance policy setup, and data room builds.
Define and implement a hiring approval workflow in partnership with Talent and Finance.
Help prioritize and manage inbound requests from external partners, speaking opportunities, and investors.
Own first-draft creation and refinement for external-facing materials like updates, strategy decks, and board preparation.
Create and maintain a simple CRM-style tracker for high-value external relationships and follow-ups.
